Position: Customer Service / Medical Records Assistant

Location: Hays, Kansas

Pay: $17.61 per hour

Job Type: Full-time (40 hr/wk); in-person

Schedule: 9am-6pm Tuesday-Friday; rotating schedule on Mondays (8am-5pm; 12pm-9pm)

What You’ll Do:

· Greet patients, families, and visitors professionally, ensuring a welcoming and courteous experience.

· Manage incoming phone calls efficiently, following office procedures to address inquiries.

· Assist with new patient processing, including triaging, to facilitate smooth onboarding.

· Coordinate scheduling for new patients, rescheduling, cancellations, and backfilling appointments.

· Handle incoming and outgoing faxes, mail, and document-related tasks with accuracy.

· Prepare and distribute appointment-related correspondence, including confirmations, cancellations, and no-show notices.

· Support patient processes by managing confirmation calls, referrals, registrations, discharges, and release of information forms.

· Maintain patient records in compliance with policies, including scanning, indexing, and coordinating record requests with external agencies.

· Reconcile cash drawers and prepare daily deposits with precision.

· Provide coverage for other locations as needed, including occasional Monday evenings or Thursday board meetings.

· Build and maintain professional relationships with colleagues and patients.

· Accept and apply supervisory feedback to enhance performance while adhering to office policies, regulations, and compliance standards.

Qualifications:

· Education & Experience: Bring any blend of education and experience that equips you with the skills to excel. A high school diploma or equivalent is required, but we’d love to see at least two years of experience as a secretary or receptionist, paired with coursework in modern office practices to give you an edge.

· Tech Savvy: Show off your proficiency with general office tools and technology, including computers, software applications, printers, scanners, and phones. We value team members who are eager to embrace continuous improvement, mastering new tools, equipment, and processes to keep our operations running smoothly.

· Background Checks: Successfully pass all required background checks to join our trusted team.

· Interpersonal Excellence: Demonstrate strong interpersonal skills and a compassionate approach, particularly when working with individuals experiencing serious mental illness, significant functional impairments, or those at risk due to mental health challenges.
